Operational Readiness

The Operational Readiness program ensures that your new office space is fully prepared to support business operations seamlessly from day one. Through comprehensive planning and coordination, we address all necessary preparations to minimise disruption and provide a smooth transition. Our approach covers four key management areas:

  • Site Readiness – Ensuring the physical environment is complete and functional.
  • People Readiness – Preparing your team for the transition.
  • Relocation – Coordinating all aspects of the move.
  • Week 1 Welcome Program – Supporting staff as they adapt to the new workspace.

On Day 1, your employees can step into their new space and start working without delays or productivity loss.

Site Readiness

Site Readiness is the backbone of a seamless office move, ensuring your new workspace is fully functional, safe, and ready for action on day one. This service covers all essential setup and checks:

  • Infrastructure & Furniture – Ensure that everything from built environments to desks and chairs are defect-free and ready-to-use.
  • ICT – Networks are tested, workstations are set up and tested, Telephony is tested, ensuring every team member has seamless access from the start.
  • Utilities & Facilities – Power, water, HVAC, and shared spaces like kitchens and bathrooms are all operational and stocked.
  • Security & Access – Access control systems are tested and access devices are issued to staff and vendors appropriately, plus verify emergency and evacuation protocols.
  • Safety & Compliance – Ensure all health, safety, and accessibility standards are met, and an Occupancy certificate is issued.
  • Aesthetics & Comfort – Ensure that the finished product is as per the design intent.

After testing and a final walkthrough, your new site is fully prepared for business operations. Site Readiness sets the stage for a smooth transition.

People Readiness

People Readiness ensures your team is fully prepared, informed, and comfortable in the new office environment from day one.

By focusing on clear communication, training, and support, we make sure employees can transition smoothly without disruption. Key components include:

  • Communication & Awareness – We provide timely updates on the move, new workspace layouts, and any changes, so your team knows exactly what to expect.
  • Training & Orientation – From tours of the new space to training on any new technology, we help staff acclimate quickly and confidently.
  • Support & Resources – Guidance on packing, moving day instructions, and contacts for assistance are all readily available, with accommodations for those who need them.
  • Change Management & Engagement – All stakeholders are informed and engaged  at every step of the way.  Staff are actively contributing, usually through selected “change champions”  and on line support is provided with Q&A’s and regular updates.
  • Logistical Readiness – Access details, transportation options, and fully equipped workstations ensure employees are productive from day one.

With People Readiness, we prioritise your staff’s needs, answer their questions and ease that transition, aligning them with the operational goals of your move.

Relocation Management

An office relocation is a carefully orchestrated process designed to move your office with minimal disruption and maximum efficiency.

From initial planning to post-move support, our Relocation service ensures every detail is managed:

  • Planning & Preparation – We assemble a dedicated team, set a clear timeline, and establish what is required and a budget.
  • Communication & Coordination – Stakeholders are informed at every step, with updates feeding into the change management plan and communications schedule to engage and prepare employees.
  • Site Readiness – Any reused furniture is relocated and set up, preparing the new space for immediate use.
  • Logistics & Moving – Storage audits and allocations are managed and communicated, and professional removalists are procured with organised schedules put into place to allow for a smooth, efficient move.
  • People Readiness & Orientation – Employees receive move-day instructions, and orientation sessions ensure everyone is ready.
  • Post-Move Support – We monitor operations, gather feedback, and address any final adjustments to make sure the transition is seamless.

Day One Welcome Program

The Day 1 (or in a hybrid environment – week 1) Welcome/Settling-In Program is designed to ensure your team is welcomed, and feel supported, informed, and fully acclimated in their new workspace.  During this critical first week, we leverage vendors to provide structured guidance, troubleshooting, and resources to make the transition as smooth as possible. Key elements of the program include:

  • Day 1 Welcome – All employees will be welcomed by the support team and inducted into the new facility.  This will include tours of the facility (or just their floor) to familiarise them with the new layout, amenities, and safety protocols.
  • On-Site Support – The designated support team will be doing walk-arounds on day 1 and will remain available for the first week to address any immediate needs, answer questions, and resolve issues as they arise.
  • New Systems – Employees receive guidance on new systems, technology, and any updated procedures, ensuring they have everything they need to be productive.  All will be documented and available to staff and may be supported with on-site workshops for week 1
  • Feedback – Post-move surveys are conducted 30 days post-move to capture feedback and highlight what the staff think about the transition process
  • Post-Move – Clear processes will be in place to manage any workspace reasonable adjustments and ergonomic issues arising.  The ongoing support channels established will ensure employees feel secure in their new environment.

This Day One Welcome/Settling-In Program helps employees adapt quickly, enhancing morale and productivity in the new workspace.

Testimonials

NAB, one of our clients, were undertaking the largest property projects in their history.  3 sites across 3 cities and 2 states impacting around 5,000 people.  We brought Paul in to help us manage the Operational Readiness functions within the project delivery scope.  His methodology provided complete transparency and provided a North Star for all of the team to aim at.  All 3 projects were an overwhelming success and we had a very happy client as well as very happy colleagues at the end of it.  A task with added complexity as the whole Operational Readiness program was managed during COVID.  Creative and committed, I’ll certainly utilise Paul’s services again when the opportunity arises.
